Appointments, job sheets, parts requests and invoicing in one place. The customer sees what stage their car is at and writes directly to the workshop.
Workshops already working on xkfz
◆ At a glance
Every card below is a real module in the application — not a promise on a roadmap.
Appointments are blocks on lifts, not rows in a table. Drag a car to another bay or another time, and overlaps refuse themselves — on screen and on the server.
A bell with sound in the app and push notifications on the phone, even with the app closed. One click takes you straight to the source of the problem.
Claude, limited to the car on the lift: tightening torques, diagrams, diagnostic steps — with cited sources.
The estimate is approved from the portal, the invoice is born from the estimate, the payment is recorded in two taps.
The calendar, appointments and reports are separated by location from one selector — nothing gets mixed up.
A secure link, no password, with the repair stage in real time — sent by SMS. The workshop phone rings less often.
Messages on the job, with a buzz that cuts through the noise of the shop floor when it is really urgent.
Hours worked are timed automatically at every start; reports come out as PDF or CSV, broken down by day.
◆ The difference
We do not ask you to work differently. We only ask you to stop keeping the workshop in your head, on paper and on WhatsApp.
◆ The workflow
From the customer's phone call to the paid invoice — every step leaves a trace in the application, not in someone's head.
◆ Modules
Day, week and month views, with each mechanic's load in plain sight. Move an appointment by drag & drop and see at once what is left uncovered.
Pick the operations from a standard catalogue with a time and rate for each, delivered with the workshop. The check-in sheet records mileage, fuel level and existing damage.
The mechanic sees only their own jobs, only for the current day. Starts the stopwatch when the car goes up on the lift, stops it when it comes down — and their day stays on record: start time, break time, finish time.
The customer signs in with a password, a phone number or a Google, Facebook or TikTok account. They see their cars, the repair stage, estimates and invoices.
Individual or company, with VAT ID, company reg. no., bank and IBAN. Own invoice series and numbering, configurable VAT, payment by cash, card or transfer.
Takings by day and by month, profit split between parts and labour, productivity per mechanic. Plus the log: who changed what, from which device and from where.
◆ The application's structure
The office, the mechanic, the customer and the fleet each work in their own panel — on the same database, in real time. Here is exactly what each contains.
Command of the workshop: from appointment to payment.
An interface for gloved hands: big, clear, with a voice.
Their car, in plain sight: no phone calls made for nothing.
The company's fleet, with the due dates before they hurt.
The job sheet opened at the office appears instantly on the mechanic's phone, the customer sees the status live, and the fleet keeps track of its cars. Everyone sees exactly what concerns them — and nothing else.
◆ Platform journal
Every module, with what it received so far and what is coming. Kept up to date by the team, in four languages.
The Apple door is built; it opens once we have the Apple Developer account and its keys in the platform panel.
If your mechanic works alone, you write to them straight from every job — „Talk to the mechanic” — and their recommendations reach you at once, with no office to approve them. They open your account at the car: you get a link of your own on WhatsApp or SMS, your details already filled in; choose a password and you are in the portal.
From the Notifications page you turn on notifications on your phone or computer; on iPhone, after adding XKFZ to the Home Screen. One click takes you straight to their source.
When the workshop is closed, the customer gets an answer in the chat right away from the workshop's AI assistant: the status of their repair, the hours, the address, what the workshop does, how to ask for a booking. What it does not know it leaves to the workshop, which sees the conversation when it opens. The workshop turns it on under Settings » Opening hours and gives it notes in its own words.
The customer asks for a booking for their car, the workshop sets the day and the hour, and the answer arrives on the bell, by email and by SMS.
Add a car by photographing the registration certificate or typing the details; remove it from the portal and, if the workshop never worked on it, delete it for good.
Sign up or sign in with Google, Apple or your phone number; a welcome step links you to your workshop.
Every workshop has its own registration link for customers and a front-desk poster with a QR code.
A secure link, received by SMS or email, shows the repair's progress without signing in.
What the mechanic recommends for your car, approved by the workshop, due in kilometres or months.
A conversation thread per car, with photos, between the customer and the workshop.
The sending queue is ready; next comes configuring the email and SMS providers in the platform panel.
The workshop links its Autodata subscription to XKFZ: labour times, technical data and the car's service schedules go straight into the job sheet and the estimate, with nothing copied by hand.
The assistant at the lift answers from the Autodata data of the car on the open job: repair procedures, tightening torques, fluid capacities, diagrams and service intervals, each quoted with its source.
Photograph the registration certificate, we read the holder's name and the car's details, add the phone number — and the customer is on the list with their own registration link: send it by WhatsApp, SMS or email, or show the QR code on the spot. On their car you can file the certificate, take it out or bring it back, and from any conversation you book with one button.
The job page carries the conversation with the customer — messages and photographs — instead of the thread with an office that a private garage does not have. The recommendations you write go straight to the customer, and your notifications show only what comes from customers and the platform, never your own moves.
Booking requests, withdrawals, part requests, leave, extensions and a mechanic locked out of their account reach the administrator's phone as a notification; the mechanic gets jobs and messages the same way. Turned on from the Notifications page, per device.
Requests from the portal sit above the day's board; approve them with a day, an hour and a duration, or refuse them with a reason the customer reads.
Every action in the workshop's log has a clear label, in the four languages.
A workshop can have a second administrator, with a password generated once.
Fleet companies send repair requests through the API, with revocable keys and signed status notifications.
Mechanics, active customers, jobs per month and locations are counted by the server, with a refusal explained in the forms.
Create and edit estimates and invoices in the app; issuing consumes stock and numbering runs per series.
Customer notifications wait in a visible queue and go out automatically once an email or SMS provider is configured.
The day's calendar by lift: drag bookings onto a post, see leave, cover what is left uncovered.
The mechanic asks about the car on the lift; the assistant searches and cites its sources (MASTER plan).
apex.xkfz.ro instead of xkfz.ro/apex, once the domain moves to Vercel's nameservers.
XKFZ gets a second kind of garage: the private mechanic, invited by the platform, who is both administrator and mechanic. They work with customers through bookings, chat and notifications, with a job in three steps — Booked, In progress, Finished — and no quotes, invoices, stock or team. A customer's first steps, the photographed certificate and the week calendar come with it.
The bay assistant (with web search and sources), the customers' chat assistant, the certificate reader and the automatic translations all run on OpenAI, with one key and one model set from the platform panel. Anthropic was removed.
News appears in the workshops' and customers' dashboards, for their module, and here on the front page — editable from the platform panel.
The site opens in the language of the visitor's country; an account keeps the language it chose, and the subscription shows in its own currency.
The whole interface in Romanian, English, Italian and German, editable from the platform panel.
A new public page: the product, its structure, prices and frequently asked questions, in four languages.
Ten phases: rate limits, verified uploads, a mandatory audit trail, retention and GDPR export.
A switch closes the public shop window while work is going on; the application stays open to existing accounts.
Email, SMS and OAuth providers are configured from the platform panel, with a test before saving.
CLASSIC and AURORA, switched from the platform panel for every workshop.
◆ Fleet module
The company registers its fleet, gets its own panel and never misses a due date again. Intervals are tracked by mileage and by date, and the notification goes out before the deadline.
◆ AI agents
Not a generic chat glued onto the application. Three functions that do a specific job, each on its own data.
Answers only about the car it is working on right now: the make, the model and the repairs on the job sheet. Searches technical sources and tells you where the answer came from.
"What is the torque for the flywheel bolt on the 1.6 TDI?"
Photograph the registration certificate and the fields fill themselves in — VIN, make, model, first registration, engine, kW. Nothing is saved until you check.
17 characters of VIN, once, correctly
The application's texts are translated automatically into English, Italian and German, from the administration panel. Each user picks their own language.
